Embla Medical (Össur) is looking for a CEO Executive Assistant to join our team for one year. The CEO Executive Assistant provides high-level support to the Chief Executive Officer (CEO) by conducting research, preparing presentations, preparing statistical reports, handling information requests, and preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings and travel. This role requires a proactive, detail-oriented individual with excellent communication and organizational skills.

Responsibilities:

Administrative Support:

  • Manage and maintain the CEO’s calendar, including scheduling appointments, meetings, and travel arrangements.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Conduct research, compile data, and communication with executives and boards of directors.

Meeting Coordination:

  • Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
  • Ensure the CEO is well-prepared for meetings by providing necessary materials and information.

Communication Management:

  • Screen and direct emails, and other communications to the appropriate parties.
  • Act as a liaison between the CEO and other executives, employees, clients, and external partners.

Project Management:

  • Assist in the planning and execution of special projects and initiatives.
  • Monitor and report on project progress, ensuring deadlines are met.

Confidentiality and Discretion:

  • Handle sensitive information with the highest level of confidentiality and discretion.
  • Maintain a professional demeanor and uphold the company’s values and standards.
Requirements:
  • Bachelor’s degree in Business Administration, Communications, or a related field.
  • Minimum of 3 years of experience in an executive assistant role or other relevant experience.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Sharepoint).
  • Ability to work independently and as part of a team.
  • High level of integrity and professionalism.
